HOTEL Terms & Conditions

ADDRESS

Polzeath Beach House is situated at Atlantic Mews, New Polzeath, Cornwall PL27 6US.

ARRIVAL & DEPARTURE

Your room will be ready from 4pm of the day of arrival. Should you arrive early you are welcome to use the Hotel’s facilities and we will do our best to get your room ready as soon as possible. In the interests of security and to prevent fraud, at the time of check-in, guests may be required to confirm their identity by providing their booking reference and their passport, identity card or driving licence. On your day of departure, use of your room is available until 11am unless otherwise arranged with Reception.

BOOKING AGREEMENT

Upon booking, a non-refundable deposit of 25% of your stay is payable, unless it is a special offer which is payable in full. This will secure your reservation. The balance is due 28 days before your arrival and will be deducted from the credit card used for the deposit. Please have the card that you used for the reservation payment with you. Should you need to cancel your reservation please email Reservations at bookings@polzeathbeachhouse.co.uk.

During the peak season times we only accept a minimum two-night stays at weekends. We cannot guarantee a table in the restaurant in the evening for guests, please visit www.atlanticbarandkitchen.com. Rates which include breakfast offer a choice of cooked breakfast in The Atlantic Kitchen and Bar with tea or coffee, unless stated otherwise. There is no refund for meals which are not taken, and lunch cannot replace dinner unless pre-agreed with Reception.

All rates featured on the Website or quoted by telephone or otherwise are offered subject to availability and we reserve the right to refuse any booking for good reason. All prices are subject to availability.

If, due to exceptional circumstances, we are forced to cut short your stay, we will reimburse you in full for nights not taken and make every effort to find you alternative accommodation. We cannot be held responsible for any further costs incurred by you as a result. For the avoidance of doubt, your booking price does not include any incidental charges which you may incur during your stay. Any expenditure in The Atlantic Bar is payable direct and cannot be charged to your booking.

Failure to comply with any of the booking conditions may result in the party being asked to leave immediately. We reserve the right to refuse any bookings without explanation.

CANCELLATION POLICY

All cancellations must be confirmed via email to bookings@polzeathbeachhouse.co.uk. If you do not receive acknowledgment, please telephone Reception to ensure that your email has been received and noted. Without written notification that your cancellation is acknowledged by us, the full charge will be deducted.

The 25% deposit is non-refundable. All balance payments must be made no later than 29 days prior to arrival. If the booking is cancelled within 28 days, we will retain the balance payment but transfer to a future date should your travel plans change. Any cancellation made within 7 days prior to arrival will result in 100% being retained and are non-transferable. All special offers are paid upfront in full and are non-refundable from the point of booking.

We reserve the right to utilise the PCI (Payment Credit Industry) transaction code from previous payments for any outstanding balance in the event of cancellation or non-attendance. For group bookings of 4 rooms or more within the same party, the full charge cancellation policy is extended to 28 days.

We recommend that you have adequate travel insurance in place to cover any unforeseen eventualities.

CAR PARKING

There is limited free parking available at the front of the Hotel on a first come basis all year round. During the months of March to October, strict parking regulations are in force in Polzeath. You can park to the rear of the Hotel to unload on arrival.

Alternatively, there is a car park just before Atlantic Mews. You can download the JustPark App and search for location number 8229 to pay.

CHILDREN

All children (a person under 18 years of age) staying at the Hotel must be accompanied by an adult and must be supervised by an adult at all times. The safety and wellbeing of all children is solely the responsibility of the parents/guardians.

COMPANY

The Company that owns Polzeath Beach House is The Camel’s Back Limited, 4 St. Mary’s Arcade, Wallingford, Oxfordshire, OX10 0EY. Company Registration No. 08106223.

DAMAGE

A full inventory check of the room is taken prior to your arrival. We reserve the right, and you hereby authorise us to debit any costs for damage or missing or broken items.. The PCI (Payment Card Industry) Code will be utilised. A photographic record will be sent to you with a list of the costs of replacement. In the event there is significant damage discovered after your occupation, this will be photographed and sent to you and the cost of replacement or other necessary works confirmed to you in writing.

DESCRIPTION

Polzeath Beach House takes care to ensure the accuracy of its property descriptions, but please note that they are for guidance only. Please contact Reception to clarify information at: manager@polzeathbeachhouse.co.uk. If something goes wrong, please let us know as soon as you can and during occupancy, so we can discuss this with you and aim to put it right.

DOGS

Polzeath Beach House operates a No Dogs policy. Dogs are not permitted on Polzeath Beach from March to October.

FACILITIES & MAINTENANCE

We will generally close Polzeath Beach House for 4 weeks each year in January/February to carry out maintenance and refurbishment works. It may however be necessary during trading months to carry out essential maintenance works during your visit. We will use our best endeavours to keep noise and inconvenience to an absolute minimum. If such work is happening during your stay this will not constitute a reason for cancellation and standard cancellation terms will apply.

GOVERNING LAW

These terms and conditions shall be governed by, and construed in accordance with, English Law.  The parties irrevocably agree that the courts of England shall have exclusive jurisdiction to settle any dispute which may arise out of, under, or in connection with the terms and conditions.

GROUP BOOKING

A booking of three or more apartments is classified as a group and is subject to our Group Terms & Conditions of business, which differ from our Best Available and Advance Purchase rates. You will be given these terms and conditions at the time of booking.

We reserve the right to refuse bookings from Hen Parties, Stag Parties, and groups of young adults if we believe their presence may not be suitable for our other guests staying in the building.

GUEST BEHAVIOUR

Guests are requested to conduct themselves appropriately and to comply with requests in regard to conduct and respect for the property of Polzeath Beach House, its employees and guests and their health and safety. Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the building, or cause offence to other guests or our members of staff.  We reserve the right to refuse accommodation or services or remove you and members of your party from the Hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case, we shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

GUESTS WITH IMPAIRED MOBILITY

The Hotel has a dedicated bedroom including a wet room that is suitable for wheelchair users or other similarly impaired mobility. A lift is available to access all floors in the building. Reception can assist with parking in Disabled Parking Bays a short walk away. Guests with impaired mobility or other requirements should check with the Hotel in advance that their requirements can be met. Please call Reception direct for details.

LIMITED LIABILITY

Polzeath Beach House will not be responsible for the loss or damage of any property left in the building Hotel other than as required under the Hotel Proprietor’s Act 1956 or any other applicable law. Polzeath Beach House cannot accept responsibility for any material loss, damage, additional expense, or inconvenience directly or indirectly caused by or arising out of the property and its plumbing, electrical or otherwise, or exceptional weather.

PAYMENT

Payment for the balance of your stay is payable in full 28 days before your date of arrival at Polzeath Beach House.

RATES

Your rental rate will be confirmed at the time of booking and cannot be changed once a booking has been confirmed.

SMOKING/CANDLES/BBQ’s

The hotel is entirely a no-smoking building, including the terrace. Smoking in a room will incur a deep cleaning charge of £200 to render the room smoke free again. We reserve the right to request the return of the apartment if this occurs again during your stay. No compensation for pre-payment will be available. Please do not use candles in your room as these are not permitted under our insurance.

SPECIAL REQUESTS

Please let us know at the time of booking where special arrangements are required and we will do our best to make sure we get everything right for you. Whilst every effort will be made to meet these requests, they are not guaranteed.

SURF SHACK

The Surf Shack is made available free of charge for you to use during your stay. There are storage racks for surf boards and body boards. There is no capacity for SUP’s and these must be deflated before storage. We reserve the right to remove these from the Surf Shack if stored fully inflated. The drying room, racks and showers are for your use entirely at your own risk. All children under 16 must be accompanied by an adult at all times. Please do not bring any surf boards or wet suits into the Hotel building. These must be stored in the Surf Shack.

VAT

VAT is included at the current rate of 20%. These prices are subject to change if the rate of VAT is changed. The effective rate of VAT is determined by the rate at the time you make a payment to us.

While all reasonable efforts have been taken to ensure the accuracy of information on the Website, Polzeath Beach House does not accept responsibility for errors or omissions and reserves the right to amend, cancel or vary any of the arrangements featured on the Website without notice. Please note that in certain circumstances, generic photographic images have been used to represent the general style of a particular product.

APARTMENT Terms & Conditions

Your apartment will be ready from 16.00 on the day of arrival. Should you arrive early you are welcome to use the Hotel’s facilities and we will do our best to get your apartment ready as soon as possible. In the interests of security and to prevent fraud, at the time of check-in, guests may be required to confirm their identity by providing their passport, identity card or driving licence. On your day of departure, use of your apartment is available until 10.00am.

If you have to cancel we will endeavour to transfer any monies paid to a future date, but this is subject to approval and cannot be guaranteed and is subject to the Owner’s agreement, please remember that it is up to the Owner and we act only as the Owner’s agent. Your contract is with the Owner.

CLEANING

A mid-week clean is available. Please ask at Reception. An additional charge is made for this service.

If the apartment is not returned to us in a similar condition as found by you on arrival, we reserve the right to charge an additional cleaning fee from the security deposit to restore the apartment to its former condition. Photographs will be taken and available to support this additional charge. All bags of rubbish are to be taken to the bin area located by the surf shack on the day of departure.
